Interpretation

The club means igym Carshalton.

The Appointed Leisure Management Partner refers to Pulse Solutions LTD.

The Manager / Supervisor means the Manager / Supervisor in post at the Club, including any personnel from the Appointed Leisure Management Partner authorised by the college.

User means any person using the Club or its facilities whether any charge has been paid and includes spectators or café users.

Questions arising as to the interpretation of these rules shall be determined by the Manager or other senior person within Pulse Solutions LTD whose decision shall be final.

 

Abuse of Staff

We will not tolerate any abuse of staff by any member of the public whether a paid-up member or casual pay as you go user. Any abusive language or physical assault will result in the police being informed and CCTV footage will be used to identify and used as evidence.

Abusive behaviour will result in your membership being terminated with immediate effect.

The Manager of the club has the authority to take appropriate action.

 

CCTV Coverage

CCTV coverage is recording throughout the internal and external areas of the Club for the purpose of protecting property and users and the detection and prevention criminal activity.

 

Day Pass

A day pass gives you access to the facility.

A day pass is a good idea if you’re visiting for the day, if you want a friend to join you along the way, or if you’re curious to see what it’s like to use our facility.

Please note a day pass is only permitted on the day of purchase.

You must abide by all rules, failure to abide by the rules your day pass will be terminated.

Day passes are valid only on the day of purchase. Access is subject to the facilities permitted under the specific day pass purchased.

All day pass wristbands must be retained, produced, or surrendered by the Manager or supervisor on demand.

 

Promotional Membership Offers

Following this promotional period, the membership fees will be frozen at this price until you are notified otherwise. If you fail a payment, freeze, or cancel your membership and wish to join again you will revert to paying the current full standard prices.

Membership offer’s will be offered from time to time and will be subject to additional terms and conditions.

All users redeeming the offer are bound by the membership terms and conditions.

Management has the final decision in all matters relating to this offer and their decision is final and binding.

Management has the right to remove, amend or extend this offer at any time.

No refunds are available once contracts have been signed.

Any direct debit discounted membership offer will remain valid unless you cancel, freeze, or miss direct debit payments. If any of those three apply, then we have the right that your membership reverts to the normal monthly applicable fee amount. There is no cash alternative to this offer.

Membership offers may be provided periodically and are subject to additional terms and conditions.

Once contracts have been agreed, no refunds are available.

You cannot postpone a start date for any offer on that current month; the offer must be used in the month of the promotion.

Discounted membership offers will remain valid unless cancelled, frozen, or direct debit payments are missed.

There is no cash alternative to this offer.

The discounted rate per month will be applicable for the duration of the valid membership.

If a membership is frozen, direct debit is cancelled, or the membership is cancelled, the offer becomes invalid.

In such cases, a new membership must be taken out at the current prevailing rate.

 

Household Offer & Cash Upfront Offers

The household offer is valid for two people living at the same address.

The membership is not transferable to any other individuals.

The membership is nonrefundable.

You are not able to Freeze or place a hold on this membership.

Additional family members may be added at a cost determined by the Club. Proof of all members residing in the same household may be required.

The household membership can be renewed at any time prior to its expiration date unless a specific offer is available.

 

Admission and fees

On joining igym Carshalton you will pay an INITIAL PAYMENT – this is what you will pay today, which will consist of a joining fee, a pro rata fee which is to cover from the start date of your membership to the first date your recurring monthly fee will be deducted from your card and a 30 days’ notice.

Those admitted to the Club are only admitted on the basis they will observe these rules. There is no re-admission without the required payment. All fees must be paid prior to commencing use of the facility.

All persons entering the Club must purchase the appropriate membership or produce a current and active membership wrist band.

Any complimentary tickets issued by the Club, are issued without prejudice and the issue of such tickets does not represent an admission of liability.

The Management or Pulse Solutions LTD reserves the right to refuse admission or to remove from the Club any user without stating any reason and a user shall at any time comply with all reasonable instructions and requests of the manager to carry out and observe all instructions relating to the use of the Club and conduct therein which may from time to time be published by notice on the premises or otherwise.

All members must always use their own membership wristband within the Club and swipe it to validate their visit/participation in each activity.

It is a member’s responsibility to keep safe their membership wristband. Should it be lost, stolen or misplaced the member must get a replacement from the main reception. A replacement fee will apply. No member will be allowed admittance into the Club without a valid membership wristband.

 

Membership Management

Detailed information about memberships and prices can be found at www.igym.co.uk or the main reception of the Club.

Admittance to the club is granted upon payment of the required fees.

All individuals entering the club must either purchase the appropriate membership or present a current and active membership wrist band.

Membership wrist bands must be retained and produced upon request by the Manager or Duty Manager.

The Appointed Leisure Management Partner reserves the right to refuse admission or remove any user from the club without stating a reason.

Users must comply with all reasonable instructions and requests from the manager and observe all rules and regulations.

If you are found to give your wrist band to a non-member your wrist band will be confiscated and a reactivation or replacement fee will apply.

To become a member, you will be required to provide the necessary personal details like your name, address, date of birth, telephone number, email address, photo and your bank or card details for monthly payments.

Your personal details are stored within our leisure management system, eXerp and are not accessible by anybody other the those allowed access to fulfil the necessary role in maintaining your membership.

At all times we ensure we have the correct organisational, technical and security means in place to protect your personal data.

We operate a direct debit or reoccurring monthly card payments for all monthly memberships.

Your membership is only valid at igym Carshalton.

Your membership commences from date of purchase; you are responsible for contacting the Club to arrange your induction.

We have the right to refuse your application for membership.

If we cease to operate the Club due to its sale or transfer, your Membership of the Club will (unless otherwise notified to you) continue to be valid.

Please inform the Club in writing of any changes in your name, address, telephone number, email address. You can visit your online member portal where you can update the personal details directly yourself.

We may terminate your membership in the following situations and with the following notice periods:

  • without notice if you repeatedly or seriously break the Club Rules:
  • without notice for any threatening behaviour to either staff or other members of the club
  • without notice for any events of fraud or deception
  • with notice if you failed to update a payment agreement to continue your membership which will be 30 days’ notice

No refunds on upfront/cash memberships such as annual memberships.

No transfer of cash upfront memberships if you can no longer avail of the club facilities.

 

Membership Termination & Changes

If you wish to cancel your membership, you must give 30 days’ notice prior to your next direct debit date by email to the centre.

Cancelling your direct debit but not giving notice to the centre will not cancel your membership. Should you have any queries regarding cancellations please contact the igym management team.

Members must inform the centre in writing of any changes to personal details.

The centre may terminate the membership if the member repeatedly or seriously breaks the centre rules.

No refunds are provided for upfront or cash memberships, such as annual memberships.

 

Freezing Membership

If you are unable to use the Club facilities for any reason you may suspend your Membership.

A minimum of two full months’ membership is required before qualifying for suspension.

Members can freeze their membership for a minimum of one month to a maximum of three months within a 12-month period.

Members can suspend their membership if they are unable to use the centre facilities for any reason, with at least 2 weeks’ notice prior to the next direct debt date.

You are limited to a maximum of 3 months freeze in total in any 12-month period. The cost is £5 per month to avail of this service.

Freezing memberships is only available to individuals on a direct debit membership and cannot be used on cash memberships.

 

Membership Wrist Band Responsibilities

Members must always use their own membership wrist band and tap it to validate their visit or participation in each activity.

If you are found to give your wrist band to a non-member your wrist band will be confiscated and a reactivation or replacement fee will apply.

It is the member’s responsibility to keep their membership wristband safe.

No member will be allowed entry into the centre without a valid membership Wristband.

The membership is valid only at your choice of club on day of joining.

The membership commences from the date of purchase.

The centre reserves the right to refuse an application for membership.

In the event of a centre sale or transfer, the membership will continue to be valid unless otherwise notified.

The Appointed Leisure Management Partner reserves the right to alter, amend, or cancel admission charges, availability of facilities, access to facilities, timing of activities, and classes at any time and without notice.

Users are requested to vacate all facilities when the period for which they booked has expired, as it may delay other users who have paid for the next booking.

All users must respect all equipment, facilities, furniture, fittings, apparatus, and building infrastructure.

Users will be responsible for paying the cost of any damage caused. The Manager’s decision is final.

Users should observe single-sex change and toilet facilities, always using the appropriate ones according to their gender.

Inclusive facilities are strictly for use by inclusive users, carer and family members.

Lost, stolen, or misplaced wristbands must be replaced. A replacement fee applies.

 

Health and Safety

All management on duty are responsible are for the safety of users and their instructions must always be followed.

All personal property is a user’s responsibility and must be safely stored and locked in the lockers provided. Strictly no personal property is allowed unattended in changing rooms or in the gyms.

In the event of a fire, the fire alarm will be activated which is a continuous alarm noise If activated, all users of the Club must leave the building and following the instruction of the staff on duty.

The management reserves the right to hold practice alarm drills from time to time to test the procedure for clearing the Club in case of emergency.

All members must comply with all Fire Drills, failure to do so, can result in your membership being terminated with immediate effect

All accidents must be reported to the manager on shift immediately and an accident form completed. You will be given a copy of this accident report.

If your circumstances change at any time; that may inadvertently affect your safety when using the facilities, please let a member of staff know immediately.

For your safety some facilities and activities within the Club operate age restrictions.

No users under the age of 16 allowed to use the fitness facilities.

Users are not permitted to bring their own refreshments into the centre unless pre-agreed by the Manager.

 

Facilities and services

Pulse Solutions LTD reserves the right to alter, amend or cancel admission charges, availability of facilities, access to facilities, timing of activities and classes at any time and without notice.

All users are requested to vacate all facilities when a period for which they booked has expired as they may delay other users who have paid for the next booking.

All users must respect all equipment, facilities, furniture, fittings, apparatus and always building infrastructure. A user shall pay to the Club on demand the cost of any damage caused. The Manager’s decision is final.

Users should observe single sex change and toilet facilities always using this appropriate to their gender.

Inclusive facilities have been provided for strict use only by the inclusive user and their carer and family.

The Club membership purchased allows unlimited access to the fitness suites. As part of this membership the users will be allowed free access to the classes available.

The number of free classes to full memberships may increase or decrease periodically at the discretion of the Management.

 

Swimming Pool & Family Swim Usage

The ratio for family swim is one parent to two children under 16 years old.

All children must be always accompanied when in the facility.

All members must shower before using the sauna and steam room.

Glass bottles are not permitted in the poolside, sauna, or steam areas.

All users must always follow the management rules and regulations.

All management on duty are responsible for the safety of bathers, and their instructions must always be followed for staff and users’ safety.

Children under 16 years of age must be accompanied into the building and into the water by a responsible adult. Constant contact and control must be maintained.

One adult must supervise no more than two children at one time.

Babies must always wear recognised swimmer nappies when in the pool.

The pools are for the enjoyment of all bathers, including families and children. Horseplay is not allowed as it can be upsetting to others and dangerous.

Poolside notices, including pool depth, must be referred to and familiarised with.

The use of flippers and masks is not permitted. No ball games are allowed in the pool. Only Centre-approved equipment will be allowed in the pool at any time.

Proper swimwear must be worn in the pool for hygiene purposes.

All jewellery must be removed prior to entering the pool. Long hair should be tied back, and a swimming cap is recommended.

Full capacity for the swimming pool is 30 users at one time.

All swimmers must shower before entering the pool. Running and jumping into the pool is not advised. The steps and safety handrail should be used to enter and exit the pool.

All personal property is the user’s responsibility and must be safely stored and locked in the provided lockers. Personal property is not allowed unattended in changing rooms or poolside.

Photography within the building is strictly prohibited at all times.

Children must not run along poolside and must sit still and quiet in anticipation for their swimming lesson to commence. Disruptive behaviour may result in removal from the centre without refund.

We do not have a viewing gallery at igym Carshalton, so we do not allow spectators on pool said at any time.

 

Changing Rooms

If accompanying a child under the age of 8 into a changing room, the correct changing room appropriate to the gender of the parent must be used.

All children over the age of 8 must use the changing room appropriate to their own gender.

No personal belongings are to be stored in the lockers overnight.

Any belonging that are left in lockers overnight will be removed and stored for 1 week before we dispose of.

Property stored in lockers is left at the owner’s risk. iGym Carshalton accepts no liability for loss or damage.

Wet items will be disposed of after 24 hours.

 

Sauna & Steam Room

Over 16s only.

Shower before use.

Towels/swimwear required.

No shaving/scrubbing/products.

Use at own risk.

Management not liable except where required by law.

 

Sports Hall & Bookings

The four-court sports hall is available for hire. Timings will be provided by the reception.

All booking must be booked in advance via email to the centre and paid for on arrival.

Application and Confirmation: All booking applications for hire must be completed and returned with signed paperwork to the Manager. When the hirer is not an individual, the person who signs the form should be duly authorised and over the age of 18 years. A booking is confirmed once the centre processes the confirmation and issues a receipt to the hirer.

All payments associated with a booking must be paid in full at the time of booking unless otherwise agreed in writing by management.

Under no circumstances will a booking be refunded once it is confirmed.

Staff at the centre are responsible for setting up and arranging all equipment, furniture, and apparatus as part of a booking. Users/Hirers are not allowed to touch, play, dismantle, or move equipment without permission from the manager.

Hirers are requested to vacate the booked facility at the agreed time. Additional time will incur excess charges at a premium rate.

All hirers are responsible for paying any damages or repair costs arising from or incidental to the hiring.

The hirer is responsible for the supervision of all attendees unless part of an organised centre activity.

All bookings are non-transferable.

No hirer can sublet or make any part of the facility available to a third party.

Management will advise on the maximum capacity for all bookings, which must be strictly adhered to.

The hirer must strictly adhere to and familiarise themselves with the centre’s fire policy and health and safety rules.

 

Fitness Suite

Age Restriction: Only adults aged 16 years or over are permitted to use the gym.

Equipment will only work with a valid membership wristband.

Users are required to wipe down the equipment after use with the tissue provided. They must also ensure that all equipment is safely returned to its original location.

Users must wear clean sports kit and appropriate footwear. Outdoor footwear is not allowed in the gym.

Users are advised to inform gym staff if they have any medical conditions that may affect their ability to exercise or if their health changes during their membership.

No bags or large coats etc are to be placed on the main gym floor for health and safety reasons, all personal belonging must be located in the lockers provided in the changing areas.

Users must tidy up all equipment after use and place weights back in the dedicated areas.

No shouting and aggressive behaviour when on the gym floor.

 

Classes

Class Attendance: Users/members of classes must wait outside the studio/hall until invited in by the instructor, and they must be available 5 minutes before the class commences. Once the class has started, no further admission will be allowed after 5 minutes into the warmup.

Pre-booking: All classes must be pre-booked via our online booking system or through the main reception desk.
We aim to provide a balanced and varied program of classes each week, subject to availability and viability. Please note that classes may be cancelled or suspended without notice at the discretion of the management.

Class No Shows: Failure to attend a booked class Will result in a 30-day ban due to high demand.

Under no circumstances will day pass booking be refunded once it is confirmed.

All classes must be pre-booked via our online booking system or via the main reception.

We operate a class booking no show system which a member will be penalised if they fail to show up for a class and do not cancel it in sufficient time. This sanction will automatically apply to the membership.

 

General

For your security, we have an access control system in place where all users of the fitness suite must swipe to gain entry.

We have CCTV installed throughout the building which records and is monitored for the security and prevention of crime.

For free parking when visiting the facility you must enter your car registration on arrival.

We accept no responsibility or liability for any parking charge notices issued by Parking Eye.

All users must respect each other when using the facilities foul and abusive language and anti-social behaviour will not be tolerated. Users who disregard the above and affect the Club’s enjoyment by others will be removed from the Club immediately.

We offer locker facilities for all belongings to be left during a members visit to our gym; we do not allow any bags to be left or carried on to the gym floor to avoid any hazards.

Users wishing to make a complaint must follow the complaints procedure. All formal complaints must be made directly to the Manager in writing.

Photography is not permitted without prior written consent from the Manager, except during exclusive bookings.

The Manager reserves the right to dispose of any item of non-valuable lost property not claimed after one week. Valuable lost property will be disposed of after 1 month.

Appropriate clothing must be always worn, relating to the activity/facility you are participating in.

No user shall reward an instructor, or staff member personally without prior consent of the Manager.

The Club has a strict no smoking policy.

No animals are allowed in the Club apart from dogs assisting the disabled.

We reserve the right to refuse admission or ask you to leave the Club if we reasonably believe you or your guest is in breach of any section of these rules.

The decision of the Manager on every occasion is final.

The public address system cannot be used for personal calls at any time.

 

Emergency Procedures

In the event of a fire, the fire alarm will be activated with a continuous alarm noise. If activated during a swimming lesson, parents should not come onto poolside to fetch their child. The pupils will exit the pool under the control of the teachers and centre staff and line up at the emergency exits.

The management reserves the right to hold practice alarm drills from time to time to test the procedure for clearing the Club in case of an emergency.

Failure to comply with fire safety regulations and drills may result in termination of membership.

Parents are responsible for ensuring their child adheres to all facility rules and instructions given while within the centre.

All accidents must be reported to the manager immediately, and an accident form must be completed.

If there are any changes in circumstances that may affect safety when using the facilities, users must inform a staff member immediately.
